Is Scribe worth it in 2026?
What each paid plan costs per seat, what the free plan leaves out, and whether the price beats Tango for a solo operator or a five-seat team.
The quick answer
Scribe is worth it for a solo operator or consultant who writes step-by-step guides every week. Pro Personal costs $25 per seat a month billed annually ($35 billed monthly), and it adds company branding, screenshot redaction, and PDF, HTML and Markdown export. The biggest catch is price for teams. Pro Team starts at five seats at $23 per seat a month billed annually, while Tango Pro lists similar exports and desktop capture at $15 per user a month for three or more users.

Scribe is how-to guide software. It documents a process as you work, so the steps and screenshots come out of the work itself instead of being typed up afterwards. Its pricing page, checked on October 10, 2026, lists a free Basic plan, a Pro Personal plan for one seat, a Pro Team plan from five seats, and a custom Enterprise tier. The per-seat prices decide whether Scribe pays for itself.
The useful question is not whether Scribe makes good guides. It is whether a paid seat saves more staff time than it costs, and whether a cheaper tool does the same job. The sections below run the arithmetic for one person, for a five-person team, and for the closest alternative.

What you get
- ✓Per-seat prices on the page: every paid plan lists its annual and monthly price per seat, so the saving is easy to check. On Pro Personal it is $120 a year.
- ✓Redaction before export: Pro Personal lets you blur or redact screenshots, which keeps client names and internal links out of a guide.
- ✓A free tier with no trial clock: Basic needs only a sign-up, and the pricing page states no trial to track.
- ✓Enterprise controls are listed: auto-redaction of PII and PHI, SSO, and Creator, Viewer and Admin roles sit on one tier that regulated teams can check against their own requirements.
The trade-offs
- ✕Teams pay for five seats minimum: three people on Pro Team cost $1,380 a year, while the same three on Tango Pro cost $540 a year at $15 per user.
- ✕Export is paid: the free plan cannot produce a PDF, HTML or Markdown file, so a guide that has to live outside Scribe needs Pro Personal.
- ✕No numeric free limit: the pricing page publishes no monthly guide cap for Basic, so you cannot forecast when the free plan stops being enough.
- ✕Enterprise is quote-only: no price is published for auto-redaction, SSO or roles, so any budget for that tier starts with a sales call.
Worth it if…
- →Solo consultants and operators who write process guides for clients most weeks and need branding and redacted screenshots.
- →Teams of five or more that want to comment on guides together and capture processes on the desktop.
- →Support, onboarding or operations leads who spend hours each month on manual screenshot work that a guide would replace.
Skip it if…
- →Anyone who writes one or two guides a quarter. The free plan covers that, and a document covers the rest.
- →Teams of three or four who only need comments and exports. Tango Pro lists those for $15 per user a month from three users.
- →Buyers who need a fixed budget for regulated features. Enterprise has no published price.
The free plan: what it covers and where it stops
Basic costs nothing and needs only a sign-up. Its listed features are that it works with any web app, quick customization, and sharing by link or embed, which is enough to build a first guide for one process. The pricing page gives no monthly guide cap for Basic, so the page cannot tell you when the free plan runs out. Build a few real guides on it before you pay for anything.
The first hard limit is the file. PDF, HTML and Markdown export start at Pro Personal, and so does the desktop app. A guide that has to sit in a shared drive, a help desk or a client folder as a file needs the paid plan.
Pro Personal: the solo case
Pro Personal is $25 per seat a month billed annually, which comes to $300 a year. Billed monthly, the same seat is $35, or $420 a year, so the annual plan saves $120 a year per seat. For one operator it adds the desktop app, company branding, screenshot editing and redaction, and exports in three formats.
Redaction is the feature that justifies the seat for consultants. A guide built from a live screen can show client names, email addresses or internal links. Being able to blur those before a guide goes out matters more than the branding, because a leaked screenshot cannot be pulled back.
Pro Team: the five-seat minimum and what comments add
Pro Team is $23 per seat a month billed annually and starts at five seats. Five seats cost $1,380 a year, or $1,740 billed monthly. Ten seats cost $2,760 a year. The one feature Pro Team adds over Pro Personal on the pricing page is commenting, so the purchase only makes sense if your team reviews guides together inside Scribe.
The minimum matters for small teams. The badge on the plan says "Great value for teams of 3+", but the plan starts at five seats, so a three-person team pays for five. That is $1,380 a year for three people, or $460 each.
Scribe against Tango on price
Tango is the alternative to price against. Its free plan lists up to 5 workflows and up to 10 users per workspace, with browser capture only. Pro costs $22 per user a month billed annually for one or two users and $15 per user a month for teams of three or more, or $26 and $20 billed monthly. Pro adds desktop capture, branded workflows, PDF, Markdown and HTML export, screenshot annotation and blurring, and comments.
On the two pricing pages, five people cost $900 a year on Tango Pro and $1,380 on Scribe Pro Team, a $480 gap. A solo user pays $22 a month on Tango's annual rate for one or two users, against $25 a month on Scribe Pro Personal billed annually. Scribe's case has to rest on whether its capture workflow fits your team better, because the list prices do not favour it.
Enterprise: the price you cannot see
Enterprise is the only tier with auto-redaction of personal and health data (PII and PHI), SSO, and Creator, Viewer and Admin roles. Scribe publishes no price and sends buyers to a "Schedule demo" button, so the total cost of an Enterprise rollout stays unknown until a sales call. Regulated teams should get the figure in writing before comparing it with Tango's Enterprise tier, which is also custom-priced.
Where free documentation drafts fit
Academy data: our prompt library holds 62 prompts on SOPs and documentation across three pages: 16 ChatGPT prompts for SOPs, 16 Claude prompts for SOPs and 30 Claude prompts for documentation, as of October 10, 2026. Before you pay for a seat, try the wording side first: the first five prompts on each page are free, and the rest need an email address. The Claude documentation prompts and the ChatGPT SOP prompts draft the text that a screen capture only illustrates.
The verdict
Scribe is worth it for a solo operator who writes guides every week. At the annual rate, Pro Personal buys branding, redaction, and PDF, HTML and Markdown export, which are the features a client-facing guide needs.
For a team, price Tango before you buy Scribe Pro Team. Five seats on Scribe cost $1,380 a year. The same five on Tango Pro cost $900, and Tango lists similar exports and desktop capture. Scribe is the better buy only if its capture workflow fits your team better, and the list prices do not make that case.
Start on the free plan and set a date. Build the guides you would otherwise write by hand, and move to Pro Personal the week you need an exported file or a branded guide.
