AI Tool Review

Is Otter.ai worth it in 2026?

Yes if you take more than a few meetings a month and need the whole transcript. Basic is free with 300 minutes a month, and Pro is $8.33 a user billed yearly. Here are the real limits on the free plan, what Pro and Business cost per seat, what a 5-person and a 20-person team pay, and how the free plans from Fathom and Fireflies compare.

By Louis Corneloup·Updated October 14, 2026

The quick answer

Otter.ai’s Basic plan is free forever and includes 300 transcription minutes a month, but it stops transcribing any single conversation at 30 minutes. Pro costs $16.99 per user a month on monthly billing or $8.33 billed yearly, and raises the limits to 1,200 minutes and 90-minute meetings. Its biggest strength is automatic notes that join Zoom, Microsoft Teams and Google Meet. Its biggest catch is that the free plan exports only mp3 and plain text, and a long meeting is cut off at the 30-minute mark. For five people on annual billing, Pro comes to about $500 a year, and Fathom’s free plan is the strongest free alternative if you mainly need summaries.

Short answer: yes if you sit in more than a few meetings a month and need full transcripts, and no if the free plan already covers you. Basic is free forever with 300 transcription minutes a month, but it stops any single conversation at 30 minutes. Pro is $16.99 per user a month, or $8.33 billed yearly.

We checked the plan table on Otter’s own pricing page on 10 October 2026, in US dollars, and worked through what each tier gives you: minutes, the longest meeting it will transcribe, the export formats, and what a five-person or twenty-person team pays. Where a figure is our own arithmetic on the list prices, the page says so.

What you get

  • ✓Free forever on Basic, with 300 transcription minutes a month and live transcription for Zoom, Microsoft Teams and Google Meet.
  • ✓1,200 minutes a month and 90-minute meetings on Pro, for $8.33 a user a month on annual billing.
  • ✓PDF, Word and SRT export from Pro, so transcripts can go straight into client files or caption tools.
  • ✓Business raises conversations to 4 hours and covers up to 25 billed users, with activity logs and usage analytics for admins.
  • ✓AI Chat across your meetings: 50 questions a user a month on Pro and 200 on Business.

The trade-offs

  • ✕Basic transcribes only the first 30 minutes of each conversation, so a one-hour meeting loses its second half.
  • ✕Basic keeps only the 25 most recent conversations and exports mp3 or plain text, nothing you can send to a client as a document.
  • ✕A sixth seat moves a team from Pro to Business at $19.99 a user billed yearly, about 2.4 times the Pro annual price.
  • ✕Pro’s Salesforce and HubSpot integrations are subject to user limits, so check your seat count before you rely on the sync.

Worth it if…

  • →You record more than a few hours of meetings a month and need every minute transcribed, not only the first 30 minutes of each call.
  • →You need PDF, Word or SRT transcripts for clients, legal files or captions.
  • →You run a team of up to 25 and want the admin activity logs and usage analytics that Business adds.
  • →You are a student or teacher with a .edu address, where Pro falls to $6.67 a month billed yearly.

Skip it if…

  • →You take a few short meetings a month, because Basic covers about ten 30-minute calls for free.
  • →You mainly want summaries across many meetings, where the Fathom or Fireflies free plans may do the job for nothing.
  • →Your team has six or more people and needs notes rather than transcripts, since the step to Business costs about 2.4 times the Pro seat price.
  • →You need SSO or SCIM provisioning, which Otter lists only on Enterprise with a 100-user minimum.

What the free plan really gives you

Basic is genuinely free, and it is enough to try the product properly. You get live transcription, the app that joins Zoom, Microsoft Teams and Google Meet to write and share notes, and 300 transcription minutes a month. That pool is shared between live meetings and imported files, and unused minutes do not roll over. Three hundred minutes is five hours of audio for the whole month.

The limit that catches people is the one per conversation. Basic transcribes at most 30 minutes of any single conversation, so a one-hour meeting is only transcribed for its first half. On the monthly pool, that means roughly ten full 30-minute meetings (our calculation: 300 divided by 30), and not a day of back-to-back calls. Basic also keeps only the 25 most recent conversations in history and exports nothing but mp3 and plain text, so anything headed for a client or a caption tool needs Pro.

Pro: more minutes, longer meetings and real export formats

Pro is the step up for anyone whose calls run past 30 minutes. It lifts the pool to 1,200 minutes a month, about 20 hours of audio, and raises each conversation to 90 minutes, which covers nearly every client call and most workshops. It adds PDF, Word and SRT export, so a transcript can go into a file or a caption workflow without retyping. Conversation history becomes unlimited, two meetings can run at once, and each user gets 50 AI Chat questions a month across their meetings.

The price is the decision. On monthly billing Pro is $16.99 a user, about $204 a year. On annual billing it is $8.33 a user a month, roughly $100 a year. Otter’s page also shows an $8.49 monthly Pro price, but the footnote limits that offer to India-issued credit cards, so a US buyer should budget at $16.99 or $8.33 instead.

Team costs at 5 and 20 people

Pro caps a workspace at 5 billed users, so a five-person team fits on Pro. Five seats on annual billing come to $41.65 a month, or $499.80 a year. On monthly billing the same five seats cost $84.95 a month, or $1,019.40 a year. Those are our calculations from the list prices.

The sixth person changes the bill. Business allows 25 billed users at $19.99 a user billed yearly, about 2.4 times the Pro annual price per seat. Twenty seats on Business come to $399.80 a month, or $4,797.60 a year, and $600 a month, or $7,200 a year, on monthly billing. Business adds unlimited meetings and in-app recordings, 4-hour conversations, three concurrent meetings, 200 AI Chat questions a user, and activity logs and usage analytics for admins. A notes-only team may never use most of that.

Student discounts and the Business promotion

Students and teachers with a .edu address get 20% off Pro: $6.67 a month billed yearly ($79.99 a year), or $13.59 a month on monthly billing. Otter lists that discount for Pro only.

Business also shows a $24 monthly price under a "20% off for 3 months+" offer next to its $30 list price. Treat $24 as a promotion and budget at $30 on monthly billing, or $19.99 on annual billing.

Free alternatives that cap less

Otter’s free plan is the only one of the four vendors we checked on 10 October 2026 that publishes a monthly minute cap. Fathom’s free plan lists unlimited recordings and transcriptions with instant AI call summaries, and its Team plan is $15 a user a month billed yearly, with a 2-user minimum. Fireflies’ free plan lists unlimited transcription with limited AI summaries and 20 AI credits. Its Pro plan is $10 a seat billed yearly.

Granola calls itself an AI notepad for people in back-to-back meetings. Its Basic plan is free with limited meeting history, and its Business plan is $14 a user a month. Granola is a different shape of product from Otter: a notepad that sits on top of your own meetings, not a transcript archive.

In practice, Otter wins when you need the complete transcript of a long recording and exports to Word or PDF. Fathom or Fireflies win when the job is summaries across many meetings and the free tier has to carry the load, because neither publishes a monthly minute cap on its free plan.

The verdict

For a professional with a steady flow of calls, Otter Pro at $8.33 a user a month billed yearly is an easy yes. It turns the 30-minute free cap into 90-minute meetings and 1,200 monthly minutes, and its PDF, Word and SRT exports make a transcript usable outside the app. For five people that is about $500 a year, a figure to set against the time it saves writing up notes by hand.

Two honest caveats. If you only take a few short meetings a month, Basic is free and enough. And if your team has six or more people and needs notes rather than full transcripts, Business is steep at $19.99 a seat, and Fathom’s free plan may do the job for nothing. Start on Basic for a week, check the 30-minute cap against your real calendar, then decide.
