Is Fathom worth it in 2026?
What the free plan really caps, what Premium, Team and Business cost on the yearly and monthly toggles, the two-user team minimum, and how Fathom compares with Otter, Fireflies and Granola.
The quick answer
Fathom’s free plan is worth using, and Premium, the paid plan for one person, costs $16 a month billed yearly or $20 billed monthly, read on 19 October 2026. Free has no recording cap, but advanced summaries cover only your first 5 calls each month and AI action items need a paid plan. Team costs $15 per user per month on yearly billing and needs at least 2 users. The catch is that every Team seat is paid, and Otter Pro and Fireflies Pro list lower prices than Premium.

Fathom is free for the core job and charges for the AI layer. The Free plan records, transcribes and stores every call with no monthly cap, and the limits sit on summaries, action items and team features. One person buys Premium. Two or more can buy Team, which is why the team minimum matters.
Academy data: our prompt library holds 8 meeting packs with 265 prompts, from agendas to minutes and recaps, including Claude prompts for meeting notes. Fathom has no pack, so every Fathom price and limit here comes from Fathom’s own pages, read on 19 October 2026.
Fathom plans at a glance
Prices are per user per month, read on Fathom’s pricing page on 19 October 2026. The Free summary limit comes from Fathom’s Help Center. Enterprise is quote-only (“Talk to sales”) and is not in the table.

What you get
- ✓No cap on recordings, transcripts or storage on Free, with transcripts in 38 languages.
- ✓API, MCP, Claude and ChatGPT integrations are ticked on Free, for surfacing meeting context in your LLM of choice.
- ✓Team is $1 a user a month below Premium on both billing toggles.
- ✓Business adds CRM field sync, Deal View and coaching metrics, with no 3-user cap listed on CRM syncs.
The trade-offs
- ✕Free limits advanced summaries to your first 5 calls a month and has no AI action items or follow-up emails.
- ✕Team and Business need 2 users, and free seats are not supported on them, so every seat is paid.
- ✕SSO, SCIM, custom data retention and a signed BAA sit on Enterprise, which has no published price.
- ✕The 90 day guarantee has no terms on the pricing page, and the Terms of Service call all fees non-refundable.
Worth it if…
- →You want every call recorded and transcribed for free, and a standard summary is enough for most of them.
- →You are one person with several client calls a week and want advanced summaries, action items and follow-up emails on every call.
- →You run a team of two or more and want shared libraries, folders, comments and trackers.
Skip it if…
- →Per-user price is your main concern: Otter Pro and Fireflies Pro both list less than Premium on annual and monthly billing.
- →You take calls on a phone line, in webinars or in breakout rooms, which Fathom lists as unsupported.
- →You need SSO, SCIM or a signed BAA, which the plan table puts on Enterprise with no published price.
- →Your data must stay outside the United States, because Fathom’s Help Center says it stores all data there.
Is Fathom really free? What the Free plan caps
Free is a working plan, not a trial. Fathom’s pricing page lists unlimited recordings and transcriptions on it, and its Help Center adds unlimited storage and transcripts in 38 languages. You also get instant AI call summaries, a choice of bot capture or a beta bot-free mode on Mac only, and ticks for the public API and MCP, the Claude and ChatGPT integrations and Slack.
The cap sits on the AI. The Help Center says Free includes advanced summaries for your first 5 calls each month, then only the General/Enhanced template. The plan table also leaves AI action items and AI follow-up emails off Free, marks Ask Fathom and Zapier “Limited use”, and withholds the custom bot name and the option to hide the in-meeting banner.
So Free stops being enough on the sixth call of the month, if you want a template summary for it. Take a consultant (see AI for consultants) with three client calls a week, about 13 a month by our arithmetic (3 × 52 ÷ 12). Five calls get an advanced summary, the other eight get the General/Enhanced one, and all 13 are recorded and transcribed.
If the General/Enhanced summary is enough, Free costs nothing. If you need action items and a follow-up email after each client call, that is the case for Premium.
Two smaller limits matter. CRM sync (HubSpot, Salesforce, Close) on Free covers up to 3 users per email domain, and Zapier is a personal-use integration. Fathom’s Help Center page on account-wide Ask Fathom also says usage limits may apply to Free plans starting November 2026, so the allowance can change. New accounts get a Premium preview that ends 30 days after sign-up, and you stay on Free if you do nothing.
What Premium, Team and Business add
Premium adds the AI layer Free holds back: advanced summaries on every call, AI action items, follow-up emails, Ask Fathom, a custom bot name and a hideable in-meeting banner. Team adds what a group needs: global search across calls, shared playlists and folders, comments and mentions, trackers, a customer view and search across every team meeting.
Business is where the sales features start: CRM field sync, Deal View, and coaching metrics with AI scorecards. The plan table denies all three on Team. Business is also the first plan whose CRM syncs row shows a tick instead of the 3-user cap.
Enterprise is quote-only (“Talk to sales”). SSO, Okta SCIM provisioning, custom data retention policies and a signed BAA are ticked for Enterprise and denied on the four plans before it.
What does Fathom cost for one person and for five?
For one person, Premium is $192 a year billed yearly or $240 billed monthly, which is 12 months of each table price and a $48 gap.
For five people on Team, the sum is price × users × 12 months: $15 × 5 × 12 = $900 billed yearly, against $19 × 5 × 12 = $1,140 billed monthly. Business is $25 × 5 × 12 = $1,500 billed yearly or $34 × 5 × 12 = $2,040 billed monthly, so its sales features cost $600 a year more than Team on yearly billing.
The “(2 user min)” note on the Team and Business cards means neither can be bought for one person. A two-person team sits on the floor, at $360 a year on Team billed yearly. Fathom’s Help Center says free seats are not currently supported on the newer Team and Business plans, so budget every user as a paid seat.
Team costs $1 a user a month less than Premium on both toggles, and the page title’s entry price is Team billed yearly, so one person starts at Premium. The toggle says “save 25%+”, but on the card prices annual billing is 20% below monthly on Premium, 21% on Team and 26% on Business (our arithmetic).
Every card carries the label “90 day guarantee”, Free included, and the page’s description for search engines calls it a “90-day money-back guarantee”. The pricing page sets out no terms, and Fathom’s Terms of Service, last updated 4 March 2026, say “All fees are non-refundable exclusive of any applicable taxes” without mentioning it. Ask Fathom for the conditions in writing before you count on a refund.
The same page lists ways to pay less: 10 free seats for nonprofits, up to 2 years of free Team for affiliated startups of select VCs and accelerators, and Business free through their contract for teams switching from Gong or a similar tool.
How does Fathom compare with Otter, Fireflies and Granola?
On free plans, Fathom lists unlimited recordings and transcription and caps the AI summaries instead. Otter Basic lists 300 transcription minutes a month and 30 minutes per conversation. Fireflies Free lists unlimited transcription with an asterisk, 400 minutes of storage per team and 20 AI credits. Granola Basic shows 30 days of meeting history.
On paid entry plans, Premium lists higher than Otter Pro and Fireflies Pro on both billing terms, and higher than Granola Business at $14 a user a month, where the page shows no billing term. Otter Pro is $8.33 a user a month on annual billing and $16.99 on monthly billing. Fireflies Pro is $10 a seat billed annually and $18 billed monthly.
For five people billed yearly, the same arithmetic gives $600 on Fireflies Pro and $499.80 on Otter Pro, against the $900 on Fathom Team. Otter Pro stops at 5 billed users, and the plans are not like for like, because Team adds shared libraries and trackers. Our reviews of Otter, Fireflies and Granola cover their limits.
What to check before you rely on it
Fathom’s Help Center says it records Mac and Windows meetings on platforms such as Zoom, Google Meet and Microsoft Teams, and lists phone calls, webinars and breakout rooms as unsupported. A Help Center article last edited on 8 September 2025 says Fathom stores all data in the United States and uses de-identified data to improve its own models, with an opt-out, while its AI sub-processors may not train on user data. Confirm anything a client contract depends on.
The verdict
Fathom is worth it on the Free plan for anyone who wants every call recorded and transcribed at no cost. Pay for Premium, $192 a year billed yearly, when you want advanced summaries, action items and follow-up emails on every call: three client calls a week use up the free advanced summaries by the end of the second week. Move to Team when two or more of you need shared libraries, and to Business only when CRM field sync, Deal View or coaching metrics earn the higher price.
Start on Free and count the calls in a month where a template summary or an action-item list would have helped. That count, not the sticker price, tells you whether Premium pays for itself.
